The Schiebel Group is a globally operating high-tech company and market leader in the field of unmanned helicopters (CAMCOPTER® S-100) and mine detection equipment. For us, it's not just about technology – it's about visions that take off! 
 

To strengthen our team at the Vienna, 5th District location, we are looking for a service-oriented and highly organized individual for our Office Management Team starting in June 2026, working 38.5 hours per week.

In this versatile position, you will be a central contact person for employees, guests, and external partners. With your organizational talent, precision, and professional demeanor, you will significantly contribute to ensuring that our office operations run smoothly, are structured, and service-oriented.

Your Responsibilities

  • You will independently handle office tasks such as email processing, mail, phone calls, filing, and managing office supplies and storage. You will reliably ensure order, cleanliness, and a professional overall impression of the office.
  • Welcoming and attending to guests will also be part of your responsibilities. You will ensure that visitors feel well taken care of and that appointments run smoothly.
  • You will coordinate our meeting rooms, vehicle fleet, and parking spaces with a high level of oversight, precision, and reliability.
  • Additionally, you will handle organizational tasks related to authorities, particularly concerning visa matters for employees and guests.
  • You will assist with invoice control in your area, working carefully, systematically, and accurately.
  • You will support the booking and coordination of business trips, ensuring they are efficiently and proactively organized.
  • You will assist the Executive Assistant in daily operations and actively contribute wherever organizational support is needed.
  • As part of our Continuous Improvement Process Program, you will take on projects to further develop your area of work. We expect an independent, solution-oriented, and committed approach.
  • Occasionally, you will also support the Wiener Neustadt location, contributing to a professional and well-organized workflow there as well.

What You Bring

  • You bring a strong sense of initiative and have a clear hands-on mentality. You recognize what needs to be done and act proactively.
  • You have a high level of service orientation, remain resilient in demanding situations, and respond flexibly to changing requirements.
  • You enjoy working independently, systematically, and accurately. A professional and reliable demeanor is a given for you.
  • Excellent German skills and very good English skills, both written and spoken, are mandatory.
  • We expect a confident use of PCs and MS Office programs such as Outlook, Word, and Excel.
  • You are a trustworthy individual with a high degree of loyalty, discretion, and responsibility.
  • Ideally, you have completed a commercial education, such as HAK, HASch, HBLA, or office clerk training, and have at least three years of professional experience in secretarial or office roles.
  • We also welcome applications from career changers, for example, from high-end hospitality, reception or event management, or retail, provided you bring strong organizational skills, service orientation, and a professional demeanor.

The annual gross salary is based on the applicable collective agreement for the metal industry for employees in usage group II and amounts to at least EUR 2,199.15 gross per month. There is a willingness to pay more depending on your qualifications and professional experience.
